Construction Document Controller

Keep project drawings and document revisions under control

A construction document controller maintains the records that show which project documents are current, where they were sent and what still needs a response. Your bot manages registers, checks revision details and coordinates transmittals so project teams can work from an organized and traceable document set.

The job behind the title

Give this work a clear owner.

Construction teams can receive several versions of a drawing or submittal through different channels. When revision status and distribution are unclear, people spend time confirming which file to use and important review responses can remain disconnected from the document they concern.

Responsibilities

What your construction document controller can take on.

We shape these responsibilities around your systems, priorities and decision permissions.

01

Maintain document registers

Record document numbers, titles, revisions, status and responsible parties using the project's naming and numbering conventions.

02

Check incoming document packages

Compare files and metadata with the transmittal, flagging missing attachments, duplicate identifiers and inconsistencies between revision labels and the register.

03

Coordinate distribution and responses

Prepare authorized transmittals, send documents to the required recipients and track acknowledgements or review responses according to the project procedure.

04

Control revision visibility

Identify superseded versions, link related correspondence and keep the current document status clear without deleting the history needed for the project record.

Illustrative workflow

See the role in practice.

An example of how the work could run, tailored during onboarding. This is not a customer case study.

The situation

A design team issues a revised drawing package, but one file carries an older revision label and the transmittal lists an attachment that is not present. Several subcontractors need the update.

The work

Your bot checks the package against the register, identifies the inconsistencies and requests correction. It prepares the authorized distribution once the package is complete and records the recipients and document revisions.

When something needs attention

If two files claim to be the current issue, the bot routes the conflict to the designated document owner. It does not infer technical approval from a filename or the most recent upload time.

Before you get started

Questions about this role.

Does document control include approving drawings?

Document control records and routes the approval status established by the authorized project participants. Technical acceptance or professional sign-off remains a distinct responsibility; a complete register or successful transmittal does not itself approve the design.

Can it manage RFIs and submittals?

Yes. Those registers can be included with their own identifiers, response deadlines and routing rules. The bot tracks the administrative status and supporting correspondence, keeping submitted, reviewed, returned and accepted states distinct.

How are superseded documents handled?

Your project procedure determines how older revisions are marked, stored and made available. The bot preserves the required history while making the current status visible, helping users avoid mistaking an archived issue for the document intended for present use.
