The job behind the title
An event plan changes in dozens of small ways before the day arrives. A revised arrival time, missing speaker biography or unconfirmed equipment request can sit in someone's inbox while the rest of the team works from an older version.
Responsibilities
Use these responsibilities as a starting point. We train your bot for the specific job you need done, including work beyond this example, with your systems, priorities and decision permissions.
Review registrations for missing details, send approved confirmations and maintain the lists your check-in, communications and hospitality teams need, with access appropriate to each team.
Collect presentation details, arrival information and service confirmations against your checklist. Give each open request an owner, deadline and next follow-up.
Apply approved agenda and logistics changes to the run-of-show, contact sheet and briefing notes. Highlight dependencies when a change affects another person's assignment.
Organize attendance records, feedback and supplier paperwork after the event. Bring unresolved questions and invoice discrepancies to the event owner's review queue.
A clear handoff
Illustrative workflow
An example of how the work could run, tailored during onboarding. This is not a customer case study.
A customer conference is approaching, and a speaker moves to a later session while the production supplier is still using the original agenda.
Your bot updates the approved session plan, identifies the affected briefing documents and asks the supplier to confirm the revised setup. The event owner sees which changes are acknowledged and which still need attention.
The supplier requests an additional fee for the change. Your bot presents the quote and timing impact to the authorized owner before a revised commitment is made.
Onboarding & continued development
Tell us what work you need off your plate, how your business works and what a good result looks like. We agree on the responsibilities, schedule and decisions you want to keep.
Different bots are good at different things. We choose the right fit for each role, handle setup and approved access, and train your bots on your processes. We review sample work with you before launch.
Your human bot manager oversees the work, fixes issues and keeps improving your bots. As models, tools and providers change, we handle the technology behind the scenes.
We agree on targets and review methods together. These are proposed measures, not claimed results.
Before you get started
Yes. This role is a starting point. We train your bot on the actual event calendar, systems and responsibilities you want covered, whether that means frequent online sessions or a longer planning cycle for an annual gathering.
It prepares the records, updates and follow-ups the team needs and routes new information to named contacts. Physical setup, venue inspections and decisions during an incident stay with your designated people on the ground.
We use your approved invitations, reminders and previous event correspondence to train the communication style. You decide which messages can be sent directly and which need review, including sensitive attendee requests or changes to the published program.
