Resident Support Coordinator

Give residents a clear response and keep service requests moving

A resident support coordinator provides an organized first response to questions and requests throughout a tenancy. Your bot uses approved property information, records the details of each case, and follows the right routing and follow-up process so residents know what happens next.

The job behind the title

Give this work a clear owner.

Resident questions arrive through multiple channels and can disappear between the office, maintenance and property management. Repeated requests increase when residents receive an acknowledgement but no clear owner, next step or update on the original issue.

Responsibilities

What your resident support coordinator can take on.

We shape these responsibilities around your systems, priorities and decision permissions.

01

Respond to routine questions

Answer from current property guidance about amenities, office procedures, service contacts and account-navigation steps within the access you authorize.

02

Create complete resident cases

Record the property, unit, issue, contact preference and relevant history, linking duplicate contacts to the same request where appropriate.

03

Route requests by urgency

Apply your categories and emergency instructions so maintenance, account and management issues reach the designated destination with usable context.

04

Follow through on open cases

Track pending responses and provide status updates based on the actual case record, making unresolved ownership or overdue actions visible.

Illustrative workflow

An example of how the work could run, tailored during onboarding. This is not a customer case study.

The situation

A resident contacts the office again about a noisy ventilation unit and also asks how to reserve a shared space. The earlier maintenance request is still open.

The work

Your bot links the repeat contact to the existing work order, collects any changed details and provides the recorded status. It separately answers the reservation question from the property's current instructions.

When something needs attention

If the resident describes a possible immediate safety hazard, the bot follows your emergency guidance and escalation route. A routine ticket acknowledgement does not substitute for the urgent response procedure.

Before you get started

Questions about this role.

Can the bot handle rent or account questions?

It can explain approved procedures and retrieve permitted account information when access is configured. Disputed balances, exceptions and financial changes follow the authority you assign, with sensitive details limited to the appropriate resident and staff.

How does it handle emergencies?

The property supplies the emergency definitions, contact routes and resident instructions. The bot applies those rules and records the escalation, rather than treating an urgent situation as another item in a routine support queue.

How is this different from maintenance coordination?

Resident support covers the broader communication desk, including general questions, account navigation and case routing. Maintenance coordination manages the work-order details, vendor arrangements and appointment follow-through after a maintenance need has been identified.
