Managed AI staffing

HR Coordinator

Keep everyday HR work moving, with a clear record of each request.

Give your people team an AI coordinator for personnel updates, employee requests and recurring HR administration. The role follows your policies, records the evidence behind changes and keeps follow-through visible so employees receive consistent information and HR owners can focus on decisions.

The job behind the title

Give this work a clear owner.

Small HR requests accumulate across inboxes, forms and manager messages. When the record does not show who owns the next step, employees ask repeatedly and the people team reconstructs the same context.

Responsibilities

What your hr coordinator can take on.

We shape these responsibilities around your systems, priorities and decision permissions.

01

Coordinate employee requests

Capture the request, identify its category and responsible owner, and gather the information your process needs before the next action.

02

Maintain personnel updates

Apply authorized changes to employee records, retaining the effective date and supporting instruction while distinguishing proposed changes from approved ones.

03

Manage recurring HR tasks

Track recurring administrative work, required documents and scheduled reminders using the calendar and ownership rules your people team provides.

04

Prepare HR follow-through

Provide status updates and concise handoffs that show the request, actions taken, outstanding information and the person responsible for a decision.

Illustrative workflow

See the role in practice.

An example of how the work could run, tailored during onboarding. This is not a customer case study.

The situation

Several employees submit department-transfer and contact-detail changes during the same week. Some requests have manager approval, while others contain only the employee's proposed effective date.

The work

The coordinator separates the request types, checks the required supporting instructions and prepares the permitted record changes while keeping unapproved transfers in the decision queue.

When something needs attention

A transfer request includes a compensation change without the required approval. The coordinator records the requested change and routes it to the designated owner before updating the employee's compensation record.

Before you get started

Questions about this role.

What kinds of HR requests can the role handle?

The role can coordinate the administrative requests and personnel updates included in your plan. During onboarding, we map the information, policies and decision owners needed for each request type your team wants covered.

How does it handle sensitive employee concerns?

Sensitive concerns follow the routing and access rules you set. The coordinator preserves the relevant request details, limits distribution and avoids treating a policy lookup as a determination about an individual employee's situation.

Can it answer policy questions as well?

The role can use your approved policy materials to answer questions and identify the relevant version. Where the question requires an interpretation or exception, it prepares the context for the designated HR owner.
