The job behind the title
A signed offer does not mean onboarding is ready. Forms, equipment requests and manager instructions often move on separate tracks, leaving HR to discover missing pieces when the new employee is about to begin.
Responsibilities
We shape these responsibilities around your systems, priorities and decision permissions.
Create the agreed tasks for the employee's location, role and start date, using the requirements your HR team maintains.
Request the appropriate forms, track receipt and surface missing or inconsistent details without treating an unsigned or incomplete document as complete.
Coordinate approved account, equipment and access requests with their assigned owners, retaining the status and any prerequisites for completion.
Assemble confirmed orientation details, contacts and first-day instructions, updating the employee and manager when an arrangement changes.
A clear handoff
Illustrative workflow
An example of how the work could run, tailored during onboarding. This is not a customer case study.
A new employee starts in another office next week. HR has the signed offer, but the manager has not confirmed equipment needs and one onboarding document remains incomplete.
The coordinator assembles the role checklist, follows up with the assigned equipment owner and requests the missing document information through the approved employee communication channel.
A request includes access outside the employee's approved role. The coordinator presents it to the access owner for authorization rather than treating the request itself as permission.

Before you get started
The role can track both workstreams and their dependencies while keeping responsibility with the correct owners. Your checklist determines which tasks belong to HR, IT, the manager and the employee.
It can perform authorized provisioning actions where included in the role. The access owner defines the permissions and approval process, and the coordinator records outstanding requests separately from access that has actually been granted.
The coordinator updates the onboarding schedule and identifies the requests affected by the change. It prepares revised communications and follows your process for rescheduling orientation, provisioning and any outstanding employee paperwork.
